Job Description

Responsibilities

 

  • Performs transfer agency operations services on behalf of clients.

  • Manages relationships with assigned clients and ensures all questions are answered and issues with fund transactions, accounting, and reporting are resolved.

  • Manages processes and oversees a team to ensure that new client onboarding is successful and fund security master records are maintained in accordance with departmental policies and procedures. 

  • Oversees reporting requirements, ensuring timely and accurate information reporting.

  • Plans, allocates and monitors workflow to ensure that internal and external projects are accurately and timely completed.

  • Ensures team adheres to quality standards. Analyzes trends and implements processes to improve team performance.  

  • Contributes to the achievement of team objectives.

 

Other Adhoc Duties as required:

 

Oversight of the Outsourced Serviced Providers

 

  • Conduct control based testing of off-shored activities across those outsourced serviced locations (including Ireland process’s) to demonstrate strong and effective oversight
  • Complete annual review of SLD’s with various providers, ensuring they remain relevant and appropriate for the relationship established
  • Conduct due diligence of OSP’s as required by business, tracking evidence and follow-through on all observations made
  • Host monthly service review meetings with clear tracking of projects, issues, trends, events, errors – with a view to forming collaborative and productive overall model design
  • Co-ordinate and manage effectively the BCP ‘back to base’ testing for “OSP out days” across the business
  • Tracking KPI’s for OSP’s activities and performance, with critical analysis and management of same
  • Provide for a detailed review and assessment for any significant errors by the OSP’s
  • Retain records of all activities and process’s conducted for review by Audit, Compliance or Regulator

Governance of Outsourcing Arrangements

 

  • Manage all requests from audit, compliance or central bank as received to the line of business (and the entity) in a timely, professional and satisfactory manner
  • To monitor and provide for risk assessments on behalf of the business with engagement of 2LOD
  • Provide reporting to Ireland Oversight Committee for new relationships/ funds under an outsourced model, or other material arrangements which requires such approvals
  • Maintain and manage the Outsourcing register for Transfer Agency (AS) with strong controls around maintenance and accuracy of same for PCF review
  • Ensure client notification/ consent for outsourced activities are retained on file for review by independent party as provided for by client relationship personnel
  • Ensure compliance with all outsourcing regulatory matters for the line of business, and ensure conformance with outsourcing policies
  • Retain records of all activities and process’s conducted for review by Audit, Compliance or Regulator

BCP planning

 

  • Develop and implement an effective, meaningful and appropriate business continuity plan for business line (to include cross regional, alternate site, call-tree, work from home etc.)
  • Ensure effective management and co-ordination of “OSP out” days
  • Retain records of all activities and process’s conducted for review by Audit, Compliance or Regulator

Cross training and project management

  • To engage with wider team on other responsibilities such as regulatory reporting, investor moneys, transaction monitoring and quality assurance testing
  • To initiate, manage and deliver on new project requirements as assigned by management

 

 

Qualifications

  • Associates degree or the equivalent combination of education and experience is required.
  • 4-5 years of total work experience with at least 0-1 years of management experience preferred.
  • Experience in transfer agency operations preferred.
