Reporting to Lead Advisor Manager for Benelux countries, the successful candidate performs a full range of administrative or clerical assignments using precedence, established methods and standard operating procedures to make decisions. He/She administers HR related processes and programs and executes requests in support of clients who include but are not limited to employees, managers, candidates, retirees, Communities of Expertise (CoE) and HR Business Partners (HRBP).

Main responsibilities:

·        Provides first line support for all routine employee enquiries. Provides first line support for employee issues and facilitating their resolution (liaising with relevant parties and escalating as appropriate).

·        Co-ordination of approvals, letters and documentation for any staff moves, leavers, transfers, salary actions, promotions, employment contract extensions, etc., as required to support the HR Advisors / Business Partners.

·        Preparation & submission of all Payroll, PeopleSoft & Employee Self Service system changes to HR Central Services in a timely manner ensuring accuracy and appropriate sign off of all documentation.  

·         Production and dispatch in a timely manner of all employee correspondence in respect of any terms & condition changes.

·        Creation, maintenance and archiving of employee files and HR data in line with regulatory/audit requirements. Archive coordinator responsibilities.

·        Accurate record management to ensure compliance with all company policy and procedural guidelines, employment law, Data Protection requirements.

·         Input and maintenance of employees’ data in third-parties’ database

·        Completes full on-boarding / off-boarding process and submit relevant paperwork as required.

·        Provides routine reports, statistics, dashboards, internal trackers, etc. as requested.

·        Assists with invoice management as first point of contact.

·        Assists with recruitment administration (including reference checks and immigration requirements) as required in conjunction with the Recruitment team.

·        Assists with all internal and external audits as required.

·        Assists with HR project initiatives as required.

Skills:

·         Excellent communication and problem solving skills. Strong attention to detail coupled with a high level of accuracy. Candidates MUST speak either French or Dutch fluently.

·        Strong interpersonal skills and the ability to interact at all levels of the organization with diplomacy and professionalism. Enthusiastic team player who actively contributes in a flexible and adaptable manner.

·         Ability to manage multiple and conflicting priorities in a fast paced environment, while meeting deadlines. Ability to adapt to change as it occurs in numerous areas within HR. Aptitude to manage large call/email volume. Excellent planning and organization skills required.

·       Ability to work independently and maintain confidentiality. Ability to handle sensitive and confidential employee data with discretion and professionalism.

·        BA or MA degree. 1 to 2 years of experience, working in HR or related fields preferred.

·       Fluency in English and French required, fluency in Dutch is a strong asset, knowledge of other languages is a plus.

·       Strong PC skills and affinity with systems, including Microsoft Office (excellent command of Word & Excel required), knowledge of PeopleSoft is an asset.
