The Executive Assistant will support a key Senior Leader within the business who holds two key positions: Head of Site, Manchester and Global Head of Embedded Controls.
Proactive management of extremely busy schedules spanning multiple time zones, ensuring accuracy at all times and completing all tasks in a timely manner.
Build and develop a network of contacts internally to keep abreast of internal and external developments within the corporation globally.
Arrange routine and ad-hoc meetings, conference calls and video conferences globally, including senior managers, as required.
Assisting with organisation for offsites, learning events, team events and other events that may arise from time to time.
Preparation and timely release of meeting Agendas and Minutes for both routine and ad hoc meetings, compilation and distribution of Action Logs, timely follow through with others on deliverables from Action Logs.
Timely provision of all relevant materials prior to meetings.
Raise and manage recruitment requisitions and coordinate additional recruitment processes in conjunction with HR, Hiring Managers and senior approvers.
Proactively collate and communicate all holiday, travel and other leave for the senior management team.
Accurate recording of messages, resolution of issues or arranging for other members of the team to deal with issues as they arise.
Assistance with production of presentations and reports, to Board level standards.
Preparing itineraries and booking all travel and accommodation through corporate travel agent as required.
Processing of business expenses.
Assistance with budget related activities on a monthly basis.
Effective records management.
Administrative assistance to other members of the team as required from time to time.
Proactive involvement in projects on an ad hoc basis as required.
Other duties as assigned.
Comply with all BNY Mellon corporate policies and procedures.
Alert management immediately of any significant changes to business risks and internal control effectiveness.
Notify management immediately on discovery of any regulatory breach.
Comply with all Security and Health & Safety policies and procedures operating within the business.
Experience as a Personal / Executive Assistant at a senior management level, preferably in a global context.
Proactive forward planning skills and ability to 'anticipate' needs of senior managers is essential. ·
Excellent communication skills - verbal, written.
First class document production, including PowerPoint presentations.
Excellent organization skills - ability to multi-task and quickly adapt to changing circumstances essential.
Experience working in a confidential environment.
Literacy in the following software packages: Outlook, Word, PowerPoint (high level of skill essential), Excel, Visio, MS Project (latter not essential).
Flexibility in terms of both working hours and work undertaken will be required.
