Senior Administrative Assistant
The Treasury Services Administrative Assistant is responsible for supporting the Head of Treasury Services Europe and TS Europe team.
Responsibilities include: diary and e-mail management when manager is away, answering the phone, coordination of travel bookings, managing expenses, arranging client meetings, preparing presentations and support of sales initiatives.
Reporting responsibilities include tracking ‘Engage’ (client management system) for monthly business win data, production of monthly Trade Business Dashboard, tracking YTD business wins against team/individual targets and production of ad-hoc reports, such as the business pipeline.
Support for the Business Development Sales Team includes:
Preparation of presentations and reports, collation and review of financial data, maintenance of team Sharepoint sites, onboarding new team members and dealing with ad-hoc system requests/ solving access issues.
Running reports, managing travel bookings/expenses and booking of meeting rooms etc, as well as assisting with IT queries, answering calls etc.
Business Records Management coordinator, with responsibilities including:
File plan collation for the whole of TS EMEA region, maintenance of the records index plan, updating policies and procedures, destruction of hardcopy paperwork on and off-site.
Managing the scheduling of client meetings at annual conferences such as SIBOS, for regional Treasury Services delegates, and working with the global event coordinator to ensure schedules are updated, create and maintain a master list of meetings, including attendance of staff and clients at the client dinner.
Assist with the production of briefing memos, ensuring that the correct logistics appear on the memo, and submitting to the events team for uploading onto the conference scheduler.
This is a business support role involving interaction business seniors.
Excellent communication and social skills, ability to work in and as a team, and cultural sensitivity required.
Fluency in use of data management systems, spreadsheets and Office IT systems, required.
Candidate should also be self-motivated, having a proven ability to work under direct and remote guidance.
