Jr. Administrative Assistant

Job Description

With general supervision, completes a limited range of administrative support activities for a small team [typically 3-5 individuals] and/or provides individual support (e.g., calendar management, travel booking, expense reporting) to a member of management, typically level M and below. Priority of work to support the team or member of management is clearly defined. Activities are straightforward, but varied and require sufficient experience to evaluate and select appropriate steps among defined/precedented options. May review own work with more experienced team members to confirm accuracy. Appropriately escalates non-standard issues to more experienced team members. Requires ability to effectively prioritize competing requests and switch focus as needed. Activities span most administrative areas such as word processing, data entry, scheduling/calendaring, organization, etc. Performs a limited range of administrative duties such as maintaining calendars, arranging meetings and travel, preparing basic correspondence, compiling the content of and formatting presentations/papers, filing, performing data entry and basic calculations, executing supply orders, and gathering information. Regularly uses a range of standard business software (word processing, e-mail, spreadsheets, etc.) to accomplish work. Assist with the initial drafting of correspondence, memoranda, and reports; copies, files and processes related documentation. Prepares and distributes meeting agendas and minutes. Assists with research; compiles and summarizes information for reports and correspondence. Works directly with team managers to assist with team budgets, expense management and accounts payables/receivables. Conducts a range of standard administrative assignments in support of meeting, seminar, workshop, and/or conference planning. May involve material production, scheduling and logistical arrangements. May be involved in other special, ad-hoc assignments projects requiring interaction across the team/teams. No direct reports. Effective collaboration and communication, including information exchange, is required. May provide advice/training to new or less experienced team members. The timeliness, quality and accuracy of work directly contributes to the achievement of team goals. Focus is primarily on short-term (daily/weekly) tasks. High school/secondary school or the equivalent combination of education and experience is required.


Applicable vocational training (e.g., courses on relevant business software like the Microsoft Office Suite of products, basic business writing, or similar) preferred. 0-3 years of total work experience preferred.
