Senior Administrative Assistant - Legal

Job Description

  • Supporting a Senior Managing Counsel and their team with a wide range of administrative activities in support
  • You will be tasked with room bookings, raising system approvals, expense management and prioritizing issues as required
  • Schedules meetings, prepares and distributes meeting agendas and minutes
  • Activities may also encompass disciplines such as event planning, bookkeeping, as well as standard areas like word processing, data entry etc
  • Makes travel arrangements and maintains calendar of appointments for assigned manager(s) and/or team
  • May be expected to prepare draft correspondences, memoranda and reports on behalf of and for review by the assigned manager(s) and/or team
  • Completes all billing and expense activities, manages supply orders and resolves associated issues on behalf of the office, manager(s) and/or team
  • Typically conducts a range of administrative assignments related to the team's attendance or conduct of seminars, workshops, and/or conferences, among others, including preparation of materials, scheduling and logistical arrangements
  • May review and analyse complex data, assist with budgets and budget presentations for review and use by the assigned manager(s) and/or team
  • Has some latitude for time management and selection of work methods/approach for completion of own work
  • Appropriately and effectively addresses complex issues escalated to the assigned manager('s')/team member('s') office
  • Requires ability to effectively prioritize competing requests and switch focus as needed; often must negotiate prioritization of administrative activities with team members/manager(s)
  • May participate in ad-hoc special projects or administrative initiatives
  •  Other activities often reflect some elements of the professional discipline supported (e.g., HR, Risk, Finance)
  • Applies discretion to triage a wide range of requests, questions and problems directed toward the assigned manager(s) and/or team
  • Effective collaboration and communication, including information exchange with internal and external contacts, is required.

Qualifications

  • Experience working in a similar administrative / secretarial function supporting a senior team is essential
  • Previous experience within financial services or supporting a legal team is preferred
  • Experience liaising with senior Stakeholders is preferred
  • Must have excellent interpersonal skills in order to handle sensitive and confidential issues; to include poise, tact and diplomacy. In addition, this individual must be able to interact and communicate with all levels of the organization, mindful of the culture and diversity of the audience
  • Ability to compose, type, and proof materials; establishing priorities and meeting deadlines.
  • Good IT skills to include the use personal computers, data storing and other Microsoft Office Suite products such as Word, Excel, Power Point, Outlook etc
  • Excellent English oral/written communication skills
